SECTION 1: Job Summary (Summary of the basic functions of the position)
Coordinate the scheduling of appointments or patients who submit requests online (via numerous
channels such as ZocDoc, online websites, Landing Pages, Solution Reach, etc) for all clinics. Also
responsible for the patient recall program.
SECTION 2: Duties and Responsibilities (Responsibilities necessary to accomplish job functions)
- Answer and respond to calls, voicemails, and various other forms of communication in prompt and timely manner.
- Triage questions and concerns from patients and referring providers and work closely with physicians to manage care.
- Accurately assess urgency of calls and messages to schedule patients accordingly.
- Prioritize urgency of tasks and manage effectively.
- Communicate pathology and laboratory results and treatment plan, scheduling procedures as needed.
- Work with referring providers and pharmacies to manage patient care.
- Maintains thorough understanding of clinic scheduling protocols
- Follow up with patient inquiries via phone and patient portal
- Manage patient prior authorizations and referrals
- Complete tasks as delegated by physicians to manage patient care
- Report to regulatory agencies as needed
- Adheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.
- Performs other duties that may be necessary or in the best interest of the organization.
SECTION 3: Experience Requirements
- 3 years’ work experience in a Patient Care Coordinator role or similar
SECTION 4: Knowledge, Skills and Abilities Requirements
- Detail oriented, professional attitude, reliable
- Management and organizational skills to support the leadership of this function
- Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations
- Interpersonal skills to support customer service, functional, and team mate support needs
- Able to communicate effectively in English, both verbally and in writing
- Mathematical and/or analytical ability for basic to intermediate problem solving
- Basic to intermediate computer operation
- Proficiency with Microsoft Excel, Word, and Outlook
- Knowledge of medical terminology and practices.
- Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines
