Position purpose

The Patient Coordinator is responsible for the initial and ongoing interaction between the practice and its patients. The goal of this position is to maximize new patient acquisition and existing patient retention. The patient coordinator will also assist with practice events and marketing efforts, as well as networking and new patient recruiting initiatives.

Responsibilities/Duties/Functions/Tasks:

  • Conduct New Patient in person and over the phone consultations to assess interest, schedule appt, and post-appt follow up
  • Take photos, cosmetic/medical history, educate on procedures and products, and communicate patient interests and medical history to provider(s)
  • Review with patients appropriate videos, before/after photos and other visuals and tools to assist with patient consult and outcome expectations
  • Quote fees, handle financing, schedule procedure(s)
  • Skin care education/sales
  • Formulate long term treatments plans with providers.
  • Be available in office for unscheduled consultations with established patients
  • Create and update Patient packet materials, to include new patient forms, procedure treatment plans, brochures, quotes, and personalized skin care recommendations
  • Schedule post-procedure follow up with provider(s)
  • Assist with event planning, customer service innovation, networking, patient recall systems and patient recruitment efforts
  • Participate in monthly marketing/PR meetings and assist in development and execution of marketing & PR efforts
  • Maintain and update all photo books, patient testimonials (print and electronic) and patient education videos throughout office
  • Educate patients on financing options; keep Care Credit information updated and readily available in office.
  • Monitor scheduling; identify scheduling trends i.e. Cancellations- find out why patient cancelled; attempt to reschedule, if not already done
  • Other duties as assigned

Qualifications

Education: High school diploma or GED.

Experience: Minimum two (2) years experience in cosmetic dermatology or related field is preferred. Experience in sales and skin care/aesthetics are desired.

Performance Requirements:

  • Knowledge of cosmetic dermatology, and or, aesthetic medical environment and current trends
  • Desire for continuing knowledge
  • Superior communication skills, oral, written, and in person.
  • Ability to exert motivation and influence.
  • Must be able to work as part of a team.
  • Effective organizational skills.

Equipment Operated: Office machinery including computers, fax, dictating machine, calculator, and photocopier.

Work Environment: Work performed in office environment. Involves frequent contact with staff and patients. May require working under stressful conditions.

Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines. Occasionally lift and carry files up to 20 pounds.
