POSITION SUMMARY:

The secretary provides secretarial and administrative support for an academic or administrative unit(s). Must be able to support and promote the University's Mission.

ESSENTIAL FUNCTIONS:

  1. Accurately and independently prepares communications and reports for assigned academic unit(s), including accreditation and clinical education.

  2. Prepares and maintains accurate student, faculty, and program files/data consistent with accreditation and university expectations.

  3. Prioritizes task initiation and completion consistent with needs of the university and academic unit(s).

  4. Provides assigned academic unit(s) assistance with management of purchases, expenses, inventory, and budget data; monitors and maintains budget and inventory documentation.

  5. Provides assigned academic unit(s) and student body with inquiries, data (as appropriate), exam proctoring, and onboarding requirements for clinical partners.

  6. Facilitates necessary and accurate communication to and among university offices to support seamless operations and services to our students, employees, guests, and community partners.

  7. Assists academic unit(s) with event planning and coordination; available as necessary for university event assistance.

  8. Performs other duties as assigned within the scope and responsibility, and requirements of the job.

SUPERVISORY RESPONSIBILITIES:

Reporting to a key executive or senior manager, this position works under limited supervision but may receive instruction from and support other professionals. This position may assign and check work of student workers.

CONTACT WITH OTHERS:

Internal: Has contact with administrators of all levels, faculty, staff, and students, exchanging information and resolving problems, and responding to requests for service.

External: Has contact with general public, responding to inquiries or arranging meetings, and securing information.

Required Qualifications

Education: Educational background equivalent to a high school degree/GED with specialized courses in bookkeeping, typing/word-processing, and office procedures. Business school training is preferred.

Experience: Three years of general secretarial experience; a working knowledge of Microsoft Office products and office equipment (e.g., computer, calculator, copier equipment, etc.).

Skills: Must possess excellent verbal, written, proofreading and organizational skills; the ability to read and comprehend work orders, written instructions, and procedure manuals; the ability to transcribe correspondence and enter data into records and logs with accuracy; the ability to perform basic mathematical calculations; the ability to multitask and prioritize responsibilities, seeking direction regarding courses of action; the ability to research and compile data; and the ability to interpret and communicate policy as directed.

Preferred Qualifications

Experience in a college or university environment preferred.

Physical Demands

Must be able to meet the physical demands associated with a normal office environment.

Work is performed in a busy office setting.
