Summary:

The Patient Services Coordinator plays a vital role in supporting medical operations across our 31 centers in four states. This entry-level position is responsible for coordinating medical referrals, authorizations, scheduling diagnostic services, and ensuring seamless communication between healthcare providers, insurance companies, and employers. The ideal candidate will have exceptional attention to detail, strong follow-through, outstanding customer service skills, and excellent written and verbal communication abilities.

This role offers a structured work environment with opportunities for professional growth in the healthcare administration field.

Compensation: Hourly rates range from $22.54 to $23.97, dependent one experience

Key Responsibilities:

1. Referral & Authorization Coordination

  • Coordinate referrals to specialists, ensuring timely appointments and follow-up.
  • Request and track authorizations for physical therapy, massage therapy, and other prescribed treatments.
  • Expedite STAT referrals and appointments as needed.
  • Maintain accurate logs of all referrals and authorizations, following up to prevent delays in patient care.

2. Diagnostic & Billing Support

  • Schedule scans, MRIs, and offsite X-rays for patients.
  • Update billing system protocols with new client and insurance company contact details.
  • Audit system records to ensure all services are billed appropriately and no charges are missed.

3. Documentation & Compliance

  • Email and/or fax all necessary forms and dictations to insurance companies or employers.
  • Ensure healthcare providers sign off on required paperwork in a timely manner.
  • Respond to medical records requests from insurers, employers, or other authorized entities.
  • Maintain strict adherence to HIPAA regulations and company policies.

4. Insurance & Claims Coordination

  • Contact insurance carriers for Joint Services Agreement (JSA) and Functional Capacity Work (FCW) authorizations.
  • Gather and verify claim information from companies and insurers to facilitate smooth processing.

5. Communication & Customer Service

  • Serve as the primary point of contact for medical providers, insurance representatives, and employer contacts.
  • Provide clear, professional, and timely updates to all stakeholders regarding referral and authorization statuses.
  • Address inquiries, troubleshoot issues, and escalate concerns when necessary.
  • Other duties as assigned.

Required Skills & Qualifications:

Education & Experience:

  • High school diploma or equivalent (required) ; Associate’s degree or higher in healthcare administration, medical billing, or related field (preferred) .
  • 1+ year of experience in healthcare administration, medical office support, insurance coordination, or customer service is a plus.

  • Technical proficiency – Comfortable with electronic medical records (EMR) systems , Microsoft Office (Word, Excel, Outlook), and fax/email systems.

Work Environment & Schedule:

  • Full-time position (40 hours per week) with standard business hours.
  • Work setting: Office-based.
  • May require occasional overtime to meet business needs.
