Purpose: The Department of Physical Therapy Coordinator is responsible for the organization and management of the Department of Physical Therapy/ Doctor of Physical Therapy Program. This person is responsible for handling sensitive material as it relates to program admission, faculty, staff, and students.

The Coordinator serves as the first point of contact for all interactions (e.g., prospective students and parents, alumni, campus departments, community partners) and collaborates with department faculty to recruit, retain, and manage students and facilitates connections with alumni and clinical partners.

Duties:

  • Support the departments ongoing assessment and accreditation activities.
  • Responsible for the development of efficient, confidential management of program procedures, practices, records and master calendar.
  • Facilitate the collection of varying types of data (e.g., academic benchmarks, surveys) for the evaluation of student/graduate performance.
  • Management of the PTCAS system of application and recruitment of students and all interactions with prospective students (e.g., postcards, acceptance and denial letters, and welcome packets)
  • Responsible for the efficient and sensitive handling of all in-person, telephone, mail, voice-mail and e-mail contacts as they relate to the department, including the program wide ... mailbox and calendar.
  • Ensure prompt timely response to directions/tasks from the department chair or director of clinical education.
  • Responsible for the maintenance of financial records (e.g., purchase orders, credit card receipts, reimbursements) to ensure the accuracy of the department budget in consultation with the department chair.
  • Coordinate events such as interviews and ceremonies related to student recruitment and milestone achievement.
  • Coordinate committee meetings, including the completion of minutes, dissemination of minutes to members, and maintenance for committee records.
  • Supervise graduate assistants as needed.
  • Contribute to the physical therapy team by welcoming new and different work requirements; exploring new opportunities to enhance the services of the office; helping others accomplish related job results as and where needed.
  • Develop and nurture effective, productive and respectful rapport and working relationships with students, faculty, staff, and various campus and community constituencies maintaining productive and positive interactions

Primary Contacts: Faculty, staff, and students; alumni; equipment vendors; university staff primarily registrar, student administrative services, buildings and grounds, campus police, and fiscal.

Supervision Exercised: None

Supervision Received: Works toward a previously defined objective with little supervision and uses a wide range of procedures; plans and arranges own work referring unusual cases to the department chair.

Qualifications

Education: Bachelor degree preferred.

Experience: Knowledge and work experience in organizational leadership/coordination and/or in a customer service environment; experience with Microsoft Office Suite.

Physical Demands: Standing or sitting in one position for long periods; computer data input; multiple concurrent tasks with constant service interruptions; high level customer contact; strict confidentiality; detailed work.
