Position Overview

The Patient Services Coordinator plays a key role in supporting the scheduling, documentation, and reporting processes related to physical therapy and diagnostic services. This position ensures accurate verification of visits, timely follow-up with providers, and proper management of case documentation. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively with both internal teams and external providers.

Key Responsibilities

-Generate and review daily reports to confirm completion of initial therapy evaluations and diagnostic appointments.

-Verify visits with providers, ensure billing details are accurate, and request evaluation and diagnostic reports for distribution to the appropriate staff.

-Track attendance by maintaining weekly logs, recording appointment dates, and confirming discharges when applicable.

-Contact facilities and providers regularly to obtain attendance records, appointment updates, and necessary documentation such as prescriptions, treatment plans, and signed plans of care.

-Update databases and document management systems with collected information to ensure accurate and complete case files.

-Assist with utilization management for select accounts, ensuring requirements are met and documentation is maintained.

-Maintain accurate case notes, record communications, and ensure confidentiality in handling sensitive information.

-Keep work areas organized and contribute to maintaining a professional environment.

-Perform additional responsibilities as assigned, with flexibility for evolving organizational needs.

Qualifications

-Strong organizational and time management skills.

-Excellent verbal and written communication abilities.

-Proficiency in using databases, document management systems, and Microsoft Office tools.

-Ability to work both independently and collaboratively within a team.

-High attention to detail and commitment to accuracy.
