Recreation Specialist (Adult & Senior Programming)

The City of Dublin is seeking a highly motivated and detail-oriented individual to join our Recreation Services Team as a Program Specialist for Adult and Senior programming. The successful candidate is expected to contribute towards our high standards of responsiveness, cooperation and dedication to our community. The successful candidate will coordinate fiscal, logistical and programming responsibilities year-round for adults and seniors under the direction of the Recreation Program Supervisor and Coordinator.

Supervisory Responsibilities : Occasional supervision of part-time, seasonal and contractual staff as related directly to job functions. Fiscal duties include use of purchasing card and knowledge of, and ability to work independently with, the program budget.

Scheduling/Availability
  • A typical work week is Monday-Friday, 11:30am-6:30pm, with occasional availability on evenings/weekends to accommodate programming needs.
  • This position works 25-30 hours per week, predominantly weekday afternoons/evenings.

Note : This is a part-time/seasonal position that is not eligible for a comprehensive benefits package such as vacation/sick leave, health, vision, or dental insurance. Examples of duties include, but are not limited to:
  • Communicate daily, in a timely and professional manner, with program participants, vendors and staff regarding day-to-day financial, registration and program logistics utilizing appropriate computer software systems.
  • Provides a high level of customer service when responding to customer inquiries and/or complaints.
  • Purchase program supplies for adult and senior programs in a timely manner, manage inventory of supplies and storage, evaluate purchasing decisions/procedures and track financial data to ensure compliance with established City guidelines and program budgets.
  • Assist in the supervision of part-time, seasonal and contractual staff in program setting when directed.
  • Provide feedback to the Program Supervisor and Coordinator regarding programs/staff/vendors to improve the quality of services offered.
  • Participate in team brainstorming/planning sessions to discuss future program opportunities.
  • Attend regularly scheduled program team meetings and Recreation Services staff meetings.
  • Assist in the planning and implementation of adult and senior recreation programs by coordinating communications with participants (including welcome and thank you/survey emails), preparing facility space before events and providing on-site support.
    • Responsibilities include setting up the venue, greeting and introducing presenters or instructors, checking in participants upon arrival and assisting with the program throughout and at the conclusion of each session.
  • Provide general administrative support to the Program Supervisor or Coordinator including, but not limited to: creation of flyers, invoicing, program refunds, record maintenance, response to phone calls and e-mails and organization maintenance of shared program spaces and closets.
  • Assist with logistics and plan to attend scheduled trips/travel (seasonal).
Minimum Qualifications
  • Possession of a valid drivers license.
  • Possession of current American Red Cross First Aid/CPR/AED certification, or the ability to obtain certification within 30 days of hire.
  • Ability to lift up to 50 lbs. for occasional facility operational/safety needs.
  • Demonstrated knowledge of, and experience with, adult and senior recreation programming.
  • Ability to clearly communicate oral and written information, both internally and externally.
  • Ability to work independently and under direct supervision, as well as collaborate with co-workers.
  • Ability to work efficiently and courteously with the public and is customer focused; dedicated to meeting the expectations and requirements of internal and external customers.
  • Strong organizational and conflict resolution skills.
  • Maintains composure under pressure, does not become defensive or irritated during stressful situations; is not knocked off balance by the unexpected.
  • Must be willing to work diligently and conscientiously when dealing with work schedules and responsibilities.
Preferred Qualifications
  • Bachelors Degree in Recreation or other relevant field and experience in a supervisory capacity (some experience working at a Recreation Center or similar facility preferred), or any equivalent combination of education and experience.
  • One year of experience in a work or volunteer capacity in the areas of administrative support and/or fiscal responsibilities.
  • Knowledge and understanding of the Dublin community and the population we serve.
  • Knowledge of budgeting concepts, principles, methods and practices.
  • Experience with personal computers and understanding of computer software programs such as Microsoft Outlook, Word, Excel, PowerPoint, Rectrac and Kronos.
